Virtualis Education Corp. (“Virtualis,” “we,” “us”) is committed to protecting the privacy of our students, families, and website visitors. This privacy policy explains how we collect, use, and safeguard your personal information when you interact with our website and services.

2. What We Collect

We may collect personal information that you voluntarily provide, including your name, email address, phone number, and student information submitted through enrollment or inquiry forms. We also collect standard web analytics data (pages visited, browser type, device information) through cookies and analytics tools.

3. How We Use Your Information

We use your information to respond to inquiries, process enrollment applications, communicate with families about school programs and events, and improve our website and services. We do not sell, rent, or share your personal information with third parties for marketing purposes.

Our website uses cookies and Google Analytics to understand how visitors use our site. You may control cookie preferences through your browser settings or through the cookie consent banner displayed on our website.

5. Third-Party Services

We use Forum CRM (an in-house customer relationship platform operated by Rodriguez Corporation) for form processing and email communication, Twilio for SMS message delivery, Google Analytics and Google Tag Manager for website analytics, and Great Hearts Online for academic enrollment processing. Each of these services is governed by a data-processing agreement and its own privacy policy.

6. Children’s Privacy

We do not knowingly collect personal information from children under 13 without parental consent. All student information is collected through parent or guardian submissions.

9. Student Data and Educational Records

Virtualis is a private school. Student educational records — including transcripts, grades, and academic progress reports — are maintained by Great Hearts Online, our academic delivery partner, not by Virtualis directly.

Virtualis collects enrollment inquiry data (parent/guardian name, email address, phone number, student name, and grade level) through forms on this website and on the Virtualis Student Information System at virtualis.school/sis/apply. This data is used solely for admissions communication and enrollment processing.

As a private school, Virtualis is not subject to the Family Educational Rights and Privacy Act (FERPA), which applies to schools that receive federal education funding. Arizona ESA funds are disbursed to families, not directly to schools, and do not create a FERPA obligation for Virtualis. However, Virtualis voluntarily adopts strong data protection practices for all student and family information as a matter of institutional policy, as directed by the Board of Directors.

10. Children’s Privacy (COPPA Compliance)

This section addresses our obligations under the Children’s Online Privacy Protection Act (COPPA), which is a federal legal requirement for websites that collect data from children under 13.

Our website is directed at parents and guardians, not at children under 13. We do not knowingly collect personal information directly from children under 13 through our website forms. Parents and guardians submit enrollment inquiries on behalf of their children.

If we discover that personal information from a child under 13 has been submitted without verifiable parental consent, we will delete it promptly. Parents may contact us at info@virtualis.com to request access to or deletion of any information submitted about their children.

11. Data Retention

Virtualis voluntarily adopts the following data retention practices:

Enrollment inquiry data (submitted via website forms) is retained for up to two years to support ongoing admissions communication. The Board of Directors may adjust this period at its discretion.
Enrolled family data is retained for the duration of enrollment plus five years for academic record-keeping and regulatory purposes.
Website analytics data is retained according to the default retention policies of Google Analytics (currently 14 months).

Families may request deletion of non-essential data at any time by contacting info@virtualis.com. Requests will be processed within 30 business days.

12. Data Security

Virtualis voluntarily implements commercially reasonable security measures to protect personal information, including:

• Encrypted HTTPS connections for all website communications.
• Restricted access to enrollment data on a need-to-know basis among authorized staff.
• Use of Forum CRM, an in-house customer relationship platform operated by Rodriguez Corporation, hosted on a hardened private server with encrypted backups and access logging.

No method of electronic transmission or storage is 100% secure. While we strive to protect personal information, we cannot guarantee absolute security.

13. Third-Party Services Disclosure

The following third-party services are used on this website. Each service may collect data as described below and is governed by its own privacy policy:

Google Tag Manager (container ID: GTM-58KWCGPR)
Manages the loading of analytics and marketing scripts. Does not collect personal data directly but facilitates the deployment of services that do.

Collects anonymous usage data including pages visited, session duration, device type, browser, geographic region (country/state level), and referral source. IP addresses are anonymized.

Processes inquiry and enrollment form submissions. Collects name, email address, phone number, and any additional fields included in the form. Hosted on a private server with encrypted backups. Not a third-party advertising platform; data is used solely for Virtualis admissions and operations.

Twilio
Transmits SMS text messages from the Virtualis toll-free number to consenting parents and guardians (see Section 16). Receives only the destination phone number and message body for delivery; does not store conversation content beyond delivery logs.

15. Your Rights (Expanded)

Virtualis voluntarily extends the following rights to all website visitors and families, regardless of legal obligation:

You may request access to, correction of, or deletion of your personal information by contacting info@virtualis.com. We will acknowledge your request within five business days and respond substantively within 30 business days.

Note: Virtualis is not currently subject to the California Consumer Privacy Act (CCPA), as we do not meet the revenue, consumer volume, or data sale thresholds that trigger CCPA obligations. However, we voluntarily honor reasonable data access and deletion requests from all individuals as a matter of good practice.

16. Text Messaging Program (SMS)

Virtualis operates an SMS text messaging program for enrolled families and prospective parents, sent from the toll-free number +1 (833) 681-7167. Phone numbers are collected only when a parent or guardian voluntarily provides one on the Virtualis enrollment application at virtualis.school/sis/apply and affirmatively checks a required consent checkbox before submitting the form.

The disclosure shown next to the consent checkbox states that opting in authorizes Virtualis to send school-related text messages including acceptance confirmations, weekly attendance-form reminders, attendance alerts, school closures, payment reminders, parent-teacher conference scheduling, gradebook posting notifications, missing-work alerts, and emergency alerts. Virtualis does not send marketing, promotional, sweepstakes, or third-party advertising messages over SMS.

Message frequency varies and is event-driven; a typical family receives up to 5 messages per month. Virtualis does not charge to send these messages, but message and data rates may apply per your wireless carrier’s plan. The service is supported on AT&T, Verizon Wireless, T-Mobile, US Cellular, and most regional providers. Carriers are not liable for delayed or undelivered messages.

You may opt out of further messages at any time by replying STOP, END, QUIT, CANCEL, or UNSUBSCRIBE to any Virtualis SMS. You will receive one confirmation reply, and no further messages will be sent. Reply HELP or INFO to receive our contact information, or email info@virtualis.school for additional support. Opting out of SMS does not affect your student’s enrollment.

Mobile phone numbers and the corresponding SMS consent record (timestamp, IP address, and the exact consent text shown at opt-in) are stored in the Virtualis Student Information System. Virtualis does not sell, rent, share, or transfer mobile phone numbers, SMS opt-in data, or SMS message content to any third party for marketing purposes. Vendor processing is limited to the delivery partner that transmits the messages to your device (currently Twilio, governed by a data-processing agreement). This SMS program is operated by Virtualis Education Corp., a Wisconsin nonprofit corporation (EIN 33-4335391).

17. Board Authority

This Privacy Policy is maintained by the Virtualis Board of Directors and may be updated at the board’s discretion. Material changes will be posted on this page with an updated effective date.

Except where noted as a legal requirement (such as COPPA compliance in Section 10), the data protection practices described in this policy are adopted voluntarily by the Virtualis Board of Directors. The board may modify, expand, or revise these voluntary practices at any time to reflect changes in operations, technology, or institutional policy.
